    Reporting to the Regional Manager, this position effectively leads, manages, plans, and ensures maximum operating efficiency of the transportation crews and operations staff at the San Jose location of Corovan.

    The Operations Manager will work closely with management to ensure the business continues to grow with its existing services, while potentially developing new business lines. This position will work closely with internal stakeholders to improve the business operations, enhance business efficiency and drive profitability.

    Effectively plans, organizes, leads and controls their Operations Department. Plans for and organizes required human resources, physical assets, and vendors required to achieve planned objectives. Develops effective service mechanisms and provides departmental leadership to ensure customer satisfaction. Responsible for regulatory and safety compliance. Responsible for continuous capacity increases to achieve growth objectives of the branch. Responsible for maintaining minimum departmental operating gross profit margin.

    In addition, the Operations Manager is responsible for managing all transportation operations and customer relations. This position will also work closely with the sales team to ensure customers’ needs are met, and ensures that transportation in or out of the warehouse are handled quickly, safely, and efficiently. This will include oversight of transportation equipment, drivers and team members.

    This position will also have the responsibility for overseeing strategies to improve employee engagement to foster a positive work environment. In addition, this position will be responsible for recruiting and oversee training of new hires. The Operations Manager will also be responsible for the financial performance of the department by promoting new services to existing and new customers.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    Management:

    1. Effectively manages employees (staff and field service workers), providing leadership, motivation, development, training and discipline in order to promote quality performance and achievement of objectives

    2. Helps select new employees, trains them, provides work direction and coaching, and engages with them to develop their career objectives and meet customer requirements

    3. Ensures that deliverables on performance reviews, compensation changes, cage details, safety, fleet management, and timecards are accurately kept and sent to corporate.

    4. Deliver Corovan University training on transportation and other safety and listening meeting topics.

    5. Manages all San Jose job and account surveys, and employee training.

    6. Review and train crew leaders on all company policies, and procedures etc.

    7. Provides for the protection, maintenance and custody of company and customer assets through adherence to federal state guidelines and Corovan policies.

    Managing Business Plans:

    8. Provides input in developing annual branch business plan and department budgets, objectives. Manages against budget during the fiscal year to meet or exceed planned operations objectives and gross operating profit margins by service line.

    Operations:

    9. Manages and ensures maximum operating efficiency

    a. Utilizes the ERP System to check rates, rules, and setup of customer.

    b. Works in cooperation with the Sales Department to understand how the agreement was sold and how the customer was set up in the system.

    c. Works with the transportation team to ensure they are capturing the bill of lading and manpower information correctly.

    10. Works with leadership and cross-functional teams to develop and assist with strategic alignment and operational account reviews.

    11. Handles all blue file operational checks and provides input on billing requirements for blue file jobs.

    12. Effectively manages operations department vendors ensuring cost effectiveness and providing the level of quality and responsiveness required to meet customer expectations.

    13. Increase safety focus and compliance.

    Customer Relations:

    14. Interfaces with customers to resolve issues, walk sites, survey sites, and develop plans on how to set up projects for success and takes detailed notes of each meeting.

    15. Effectively manages operations department vendors ensuring cost effectiveness and providing the level of quality and responsiveness required to meet customer expectations.

    16. Oversees ROI accounts by regular meetings with account managers, project managers, coordinators, salespersons and customer contacts to ensure complete customer satisfaction and execution against company and customer account objectives.

    QUALIFICATIONS:

    · Must be familiar with basic systems furniture nomenclature and be able to identify upon sight, the major lines of the three major manufactures; Steelcase, Herman Miller and Haworth.

    · Must be familiar with project management reports such as Gantt and Pert charts and understand and interpret cut sheets.

    · Must be able to accurately estimate all move, install and tech projects to determine manpower, trucks and equipment necessary to complete the tasks required.

    · Must be able to produce red-line and stick drawings. Has an understanding of space planning fundamentals and building code along with training in Giza and Auto Cad to produce simple CAD drawings as required.

    · Must be able to conduct a customer pre-move meeting, post destination signage and communicate all standard move and install protocol to the customers.

    · Must be familiar with laboratory moving including packing of lab equipment, fine tune and detail work, PC disconnect and reconnect and must possess good customer service skills.

    · Must be familiar with the O&I (Office & Industrial) move process and understand the move labeling and directional signage.

    · Must be familiar with the Corotech and Corotrak processes and understand the labeling and scanning process enough to explain it adequately to crews and customers.

    CERTIFICATES, LICENSES, REGISTRATIONS

    · Preferred to be a licensed and approved Class C driver and forklift certified, but not required.

    · Must complete all levels of Corovan University training through PMIII.

    · Must have successfully participated in at least three Six Sigma projects.

    EDUCATION and/or EXPERIENCE:

    Bachelor’s Degree or equivalent of education and experience preferred.Five (5) years of experience managing moving operations, dispatch, transportation crews, trucks, customer relations, and planning related to moves.

    3. Experience managing people in a commercial moving, logistics or supply chain required.

    Familiarity with shipment options, legal issues, government regulations, and safety procedures is required. Preferred knowledge of local transportation routes. Strong business acumen.Experience working and applying business improvement tools such as Lean Six Sigma and/or ISO preferred.Experience developing a strategy and implementing new business lines and/or products preferred.Proficient in MS Office, including MS Excel with the skills to create and format spreadsheets, write formulas, and produce pivot tables required.Valid California driver’s license is required.Valid driving record that meets the company’s insurance carrier’s requirements.

    The Revenue and Accounts Receivable Associate II’s primary functions are creating and issuing invoices to customers by all necessary means and collecting activities to minimize time elapsed between invoice issuance and customer payment.

    In the process of invoicing, the Revenue and Accounts Receivable Associate II will also audit, inventory, analyze billing data, process commissions to both contractors and sales personnel and manage vendor contractor charges in a high volume environment.

    Typically reports to the Assistant Controller but may be given direction from the Controller. A successful contributor in this role will exhibit a willingness to partner with all departments on best practices to ensure customer happiness. Will act as a backup to the team when others are out of office.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    Revenue Duties:

    · Audit service branch and specialty division work orders for accuracy for man hours, billing hours and/or billing quantities, as considered necessary.

    · Report any inaccuracies to the service branch and assist with corrections within 24 hours.

    · Export completed work orders and prepare for invoicing within 48 hours.

    · Review and post contractor’s commissions accurately and by pay date cut-offs.

    · Receive, audit, and enter vendor contractors into work orders.

    · Produce use, spend, hours and/or metric reports as requested by sales and/ or customers.

    · Analyze Job Summary Report – Estimate vs. Actual.

    · Communicate closely with Service Branch Operations/Sales teams to ensure timely billing of services.

    · Complete invoicing and closing of jobs/projects by the 5 business day of the following month.

    · Enter invoices into customer invoicing web sites as required.

    · Complete complex invoicing including consolidating invoices and uploading to customer portal as considered necessary.

    Accounts Receivable duties:

    · Preparing collections reports, by account, by assigned service branch and lead monthly accounts receivable review meetings.

    · Contacting customers for payment of past due invoices via verbal and written communications and contacting customers for deposit and prepayment for new jobs as considered necessary.

    · Call all invoiced customers within 10 days of invoice to confirm receipt of invoice and document payment commitment.

    · Courteous and professional interactions with sales, support teams, suppliers and customers.

    · Timely notification to management of payment issues and referral to in house general counsel or third-party collection agency.

    · Troubleshooting customer concerns on invoices as needed to resolve obstacles to payment through cross-functional collaboration between Sales and Service Branch Operations teams.

    · Creation of summary aging reports in Excel as requested by client and internal team members.

    · Prioritizing and managing multiple responsibilities.

    · Provides assistance to cash applications team with remittance questions.

    Compliance:

    Reporting to the Lead Machinery Mover, Corovan Machinery Moving, Machinery Mover I Driver is responsible for performing machinery move functions as directed by the Lead Machinery Mover and/or Machinery Mover Onsite Supervisor for commercial machinery moves. In addition, this position will require driving trucks up to Class A.

    Assists in medium to large-sized and complex machinery moving projects to ensure complete customer satisfaction. Assists with a variety of functions with manual labor tasks as needed, loading, unloading, lifting, and moving machines and equipment, as well as non-machinery related items.

    Machinery Mover I Driver is also responsible for reporting and escalating any related issues about the project to Machinery Moving Manager or Lead Machinery Mover, Typically reports to the Machinery Moving Manager, but may be given directions from the Lead Machinery Mover, or Machinery Mover On-Site Supervisor/Driver.

    SSENTIAL DUTIES AND RESPONSIBILITIES:

    Project Assignments (On-site):

    · Checks for start time (for next day’s work schedule) with dispatch daily.

    · Obtains daily work assignments from Lead Machinery Mover.

    · Arrives at Corovan dispatch office (or on-site), in complete uniform every day.

    · Manipulate rigging lines, hoists, and pulling gear to move or support materials such as heavy equipment or airplanes.

    · Attach pulleys and blocks to fixed overhead structures such as beams, ceilings, and gin pole booms, using bolts and clamps.

    · Before every job, tests rigging to ensure safety and reliability.

    · Dismantle and store rigging equipment after use.

    · Select gear such as cables, pulleys, and winches, according to load weights and sizes, facilities, and work schedules.

    · Knows and understands road and weight restrictions and surface restrictions to ensure compliance and safety.

    · Properly loads and unloads trucks using forklifts, cranes or using ramps or on lift-gates to protect goods being moved and supervises others doing the same.

    · Handles and stages machines, performs detail work, anchoring & leveling and trash-out functions on machinery projects.

    · Control movement of heavy equipment through narrow openings or confined spaces, using chain falls, gin poles, gallows frames and other equipment.

    Driver duties:

    · Must maintain valid commercial driver’s license and be qualified and approved driver under company insurance standards.

    · Drives trucks to customer jobsite up to and including Class A vehicles.

    · Must follow the procedure and complete the Vehicle Inspection Form if driving company vehicles and is enrolled in the DMV Pull-Notice program.

    · Performs pre-trip check and safely drives vehicles up to and including, Class A tractor-trailer and Class C bobtails.

    Customer Relations:

    · Must be courteous, helpful, and professional to all existing and potential customers.

    · Follow all confidentiality rules regarding any products or services that you see at a customer’s move site.

    Engagement:

    · Ensure interactions with crew and customers are always professional to promote company’s values and expectations.

    Safety:

    · Visually inspecting rigging equipment to ensure safety and reliability.

    · Performs work with quality, efficiency, and safety at all times to include proper safety equipment PPE, drive forklifts safely.

    · Participate in daily safety briefings (safety huddles) with crew, at the beginning of each job, to be in compliance with company policy.

    · Report all safety concerns immediately to operations team.

    · Other duties: If also a qualified and approved driver, drives trucks up to and including Class A vehicles. Must follow the procedure and complete the Vehicle Inspection Form if driving company vehicles.

    · Follow all confidentiality rules regarding any products or services that you see at a customer’s move site.

    · Follow all security rules for the company and assigned customers.

    · Must be respectful of rules at each customer site as to where to work, and adhere to meal and rest period policy.

    2. Active Class A commercial vehicle license and medical card, and a valid driving record that meets the company’s insurance carrier’s requirements.

    3. One (2) to three (3) years’ experience in commercial machinery preferably in commercial moving industry.

    4. Certified forklift operator license required for the equipment being used.
