The Receptionist is the first point of contact for homeowners, board members, vendors, and visitors. This role is responsible for providing excellent customer service, answering phones, managing front office operations, and supporting the HOA management team with administrative tasks from 10 am-5 pm Monday-Friday. The ideal candidate is professional, organized, detail-oriented, and capable of handling a variety of tasks in a fast-paced environment.
Key Responsibilities:
Greet and assist homeowners, board members, vendors, and guests in a professional and friendly manner.Answer and direct incoming phone calls and emails to the appropriate team member.Respond to general inquiries about the association, management services, and office procedures.Maintain a clean and organized front desk and lobby area.Receive and distribute mail, packages, and deliveries.Log homeowner concerns or maintenance requests and route them accordingly.Assist with data entry, document preparation, and scanning.Maintain accurate records and update homeowner contact information as needed.Assist with meeting preparation (e.g., board meetings or homeowner events).Support property/community managers with administrative tasks as required.Maintain confidentiality and adhere to company and HOA policies.
Qualifications:
1+ year of receptionist, administrative, or customer service experience (preferably in real estate, property management, or HOA industry).Excellent verbal and written communication skills.Proficient in Microsoft Office Suite (Word, Excel, Outlook).Ability to multitask and prioritize responsibilities effectively.Strong interpersonal skills and a positive, professional demeanor.
