Responsibilities
The administrative Secretary supports the Community Association Manager by coordinating written communications and documents for the Board and Members. This requires the successful candidate to exhibit exceptional communication skills both verbally and in writing. Assisting the receptionist with answering the phone is required, as well as assisting the Community Manager with answering owner inquiries.
Duties include but are not limited to.
Prepare and distribute all written correspondence, i.e. letters, agenda, minutes, meeting notices, reports, newsletters, compliance letters in a timely manner and required deadline. Manage multiple calendars, meeting deadlines, coordinate monthly board/annual meetings, and prepare meeting documents using check sheets provided. Create and assemble Board packets, committee packets, and other documents. Handle administrative detail on all projects. Update community web portal. · Maintain, manage, and file documents and association records. Attending Board of Directors and Annual Meetings

Education and Experience
· High school diploma or equivalent
· Customer Service experience
· Administrative assistant or secretarial experience
· At least 1 year HOA, or legal assistant a plus experience
Job Type: Full-time
Starts at $17.00 per hour and up based on HOA experience
Paid time off.
Schedule
8-hour shift Monday – Friday
Occasional after-hours meetings
Occasional Saturday & evening meetings

High School Diploma

Responsibilities & Duties
Oversee daily operations of the multiple community associations, including budget management, and maintenance of common areas.Communicate with community residents, board members, and vendors to resolve issues and address concerns fully using an approachable manner.Enforce community rules and regulations to ensure a harmonious living environment.Manage finances, including preparing and presenting budget reports, collecting assessments, and paying bills.Attend board meetings, prepare meeting agendas, maintain notes for follow up on actions as needed.Maintain accurate records to include financials, major repair/replacement, insurance coverage, resident account notes/board notes.Stay up to date on industry trends, laws, and best practices to ensure compliance and continued growth.

Accounts Receivable Specialist
Community Association Management Company looking for analytical accounts receivable professional with a focus on detail to oversee billing, and receivable processes for homeowner assessments. In this role, you will send out past due notices, review accounts with clients, process closings and confer with legal for collections accounts. Provide assistance to with budgets and year end audits.
To succeed as an account receivable professional, you must have full knowledge of account receivable procedures with the ability to conduct complete and thorough research when necessary. In this position you must be initiative-taking, organized, and keep meticulous account notes. This position also requires excellent communication skills, and strong math and computer skills.
Account Receivable and Other Tasks:
Maintain billing and verification of proper billing.Daily verification of lockbox processing and proper posting.Maintain data through processing out sellers and buyers in after property transition.Process payments received in office.Process delinquency notices based on collection policy.Coordinate referral of unpaid accounts to attorney.Collaborate with other team members to ensure account accuracy.Work with other accounting team members to complete budgets and year end audits.Aid owners with account questions.Accounts Receivable Requirements:
At least 2 years’ experience in a similar role.Strong math, typing, and computer skills, especially with bookkeeping software.Excellent communication skills written, verbal and listening.Research, problem-solving, and time management skills.Elevated level of accuracy, efficiency, and accountability.Ability to work independently and with others.Ability to build relationships with clients and internal departments.HOA experience helpfulJob Type: Full-time
