    Summary

    The Regional Office Administrator performs daily activities necessary to manage a team of office administrators. This position serves as a professional and personable resource to office administrators, performing a variety of administrative activities. This is a full-time, salaried, exempt position.

    Essential Duties and Responsibilities

    Review listings, sales, and closings processed by office administrators in the region for accuracy.

    Present monthly huddle call materials in coordination with the State Vice President of Sales.

    Lead, participate, and attend all monthly admin huddle calls with the camera on.

    Follow admin process checklists to maintain consistent training methods.

    Meet with Admin Operations and the regional admin team to discuss ongoing issues and areas for improvement.

    Conduct interviews with potential new hires alongside local branch office managers.

    Train new admins in person if possible, or assist virtually. Continue weekly check-ins and provide additional training if needed.

    Ensure all onboarding tasks are completed for new admins.

    Collaborate regularly with branch office managers on admin performance.

    Manage the region’s pooling system and monitor workload distribution and progress toward goals.

    Meet quarterly with the regional admin team to review progress reports.

    Conduct annual performance reviews in the company payroll system.

    Monitor outstanding items in the transaction management system review stages.

    Track accounting/reporting system dashboards and alert Administrative Operations of recurring issues.

    Manage regional admin email inboxes when staff are out of office; ensure coverage of all incoming tasks.

    Coordinate with branch office managers to provide daily operational coverage when local admins are absent.

    Approve/deny time-off requests and provide attendance reports to leadership as requested.

    Add approved time off to the admin state vacation calendar.

    Monitor the region’s group chat, respond as needed, and report issues to Admin Operations.

    Participate in employee coaching and corrective action as needed.
