    Job DescriptionJob DescriptionClient Experience CoordinatorRole OverviewAs the first voice and face of Circle of Wellness, the Client Experience Coordinator plays a critical role in ensuring clients feel supported, welcomed, and cared for from first contact through their therapeutic journey. This role leads intake, scheduling, communication, and insurance verification, while also maintaining a calm, professional, and organized office environment. Your ability to balance client needs with administrative efficiency will shape how our clients experience care — before they ever meet with a therapist.

    Key ResponsibilitiesClient Communication & IntakeAnswer all incoming calls professionally, triage inquiries, and route messages to the appropriate staff.Serve as the primary contact for all new client inquiries and schedule intake appointments within 24 hours.Send, track, and follow up on intake forms and paperwork through our EHR (SimplePractice).Clearly explain services, therapist options, and payment policies. Scheduling & InsuranceMaintain therapist calendars, manage reschedules, and monitor for double bookings or gaps.Verify insurance benefits, document eligibility, and communicate clearly with clients about copays and coverage.Track insurance expirations and flag upcoming terminations. Payments & DocumentationCollect and record copays and private pay amounts at the time of service.Apply no-show and late cancellation fees as outlined in policy.Maintain accurate records in our EHR and assist with follow-up documentation when needed.Monitor and follow up on outstanding client balances, initiate and document payment plans when needed, and support clients in resolving past-due accounts in coordination with the billing team.  Office Environment & Client ExperienceGreet clients warmly in person and ensure a professional, welcoming check-in process.Oversee the cleanliness, organization, and ambiance of the front office, waiting room, and shared areas.Restock refreshments, client materials, and administrative supplies.Notify management of facility issues and coordinate basic office needs (cleaning, maintenance requests, etc.). Team CollaborationMonitor the referral inbox and voicemail system daily and ensure timely responses.Track referral sources and outcomes for internal reporting.Escalate urgent issues or client concerns to the Practice Operations Manager.Identify and suggest workflow improvements to enhance client engagement and administrative efficiency.QualificationsBilingual in Spanish is a strong plus, as we serve a large Spanish-speaking client population.2+ years of experience in a healthcare front desk or intake role (behavioral health preferred)Strong phone presence, emotional intelligence, and problem-solving skillsExcellent attention to detail and time management in a fast-paced settingProficiency in EHR systems (SimplePractice preferred) and Google WorkspaceFamiliarity with HIPAA compliance and client confidentiality standardsNo college degree requiredAbility to work on-site daily; this is not a hybrid or remote positionCompensation & BenefitsWe believe in taking care of our team the way we want them to care for our clients.

     Psychiatric Mental Health Nurse Practitioner (PMHNP)
     Location: North Chesterfield, VA — Hybrid or Virtual-Only
     Employment Type: Independent Contractor (1099) | Part-Time (20+ hours per week) with potential to grow

    Circle of Wellness is a thriving outpatient mental health practice in North Chesterfield, Virginia.

    Our mission is to provide compassionate, culturally responsive, and comprehensive mental health care for individuals, families, and couples across all stages of life. We’re expanding our services to include psychiatric medication management and the launch of our Mental Health Intensive Outpatient Program (IOP) — and we’re seeking an experienced Psychiatric Mental Health Nurse Practitioner (PMHNP) to join us as an independent contractor. This is an unique opportunity to help shape a growing service line within a supportive, established practice.
     
    The Role
    The PMHNP will provide psychiatric evaluations and medication management for clients receiving outpatient therapy and those enrolled in our new IOP. You’ll collaborate closely with our clinical team to ensure continuity of care, while enjoying the flexibility to create your own schedule and see clients virtually or in-person. We’re looking for a confident, experienced provider who values clinical autonomy, professionalism, and teamwork.

    ResponsibilitiesConduct comprehensive psychiatric evaluations and ongoing medication managementCoordinate with therapists and IOP clinicians to ensure integrated client careDocument services thoroughly and timely in the EHRMaintain a consistent caseload (minimum 20 client hours weekly)Provide care to clients typically ages 12–65, depending on experienceParticipate in collaborative case discussions as needed 
     Qualifications Licensed PMHNP in Virginia (required) At least 2 years of psychiatric experience (outpatient or IOP experience strongly preferred) Familiarity with outpatient billing, coding, and documentation standards Excellent clinical judgment and communication skills Able to work independently with minimal supervision Comfortable seeing clients virtually or in a hybrid model 
     Compensation & Structure This is a 1099 independent contractor role. 60/40 split to start (clinician retains 60%) Increase to 65–70% after 6 months based on caseload and performance Minimum commitment of 20 client hours per week Option to expand to full-time as demand increases 
     Important Notes: Contractor is responsible for maintaining their own malpractice insurance and collaborative agreement Circle of Wellness provides billing, scheduling, and administrative support Flexible hours and fully virtual work available
