    Position Description

    Training and Events Coordinator

    Reports To: Director of Member Events and Training

    FLSA Status: Salary, Non-Exempt

    Commitment Type: Full-time, On-going

    Work Environment: Hybrid, minimum 3 days a week in office or more as required

    Description: Under the supervision of the Director of Member Events and Training, the Training and Events Coordinator is responsible for day-to-day logistical and planning support for the CACTX training program and CACTX meetings and events.


    Essential Job Functions:

    Training Program Support

    Supports in-person trainings, including, but not limited to, registration, pre-event communication with trainers and participants, day-of event support, post-event communication, evaluation collection, set up of the physical space for trainings, catering, basic technology support, preparation of materials, agendas, handouts, rosters, and evaluations.Supports CAC virtual trainings and virtual peer reviews, including, but not limited to: registration, pre-event communication with trainers and participants, day-of event support (platform support, welcome and announcements, attendance, opening/closing meetings), post-event communication, and evaluation collection.Maintains working knowledge of the learning management platform to support creation of trainings, support registration, and act as technical coordinator for virtual trainings.Maintains working knowledge of project management platform, including building and updating projects and tasks related to trainings and events.Processes post-training documents and materials including sign-in sheets, reports, evaluations and training certificates.Maintains timely communications and fosters positive relationships with CACTX training faculty, contractors, and participants.Provides support for training data collection.Provides support for training invoice processing.


    Meeting and Events Support

    Provides coordination for CACTX meeting and events, including, but not limited to, set up of the physical space, arranging catering, ordering and stocking supplies, basic technology support, preparation of materials, and providing facility support as needed.Provides coordination support for CACTX member events, including procurement support, event registration setup, communication support, day-of event coverage support, and follow up evaluation and communication support.Supports off-site and regional training offering logistics and communications as needed.


    Desirable Personal Requirements:

High professional standards and ethics.Ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.Ability to work independently on projects, from conception to completion.Strong interpersonal skills and the ability to build relationships with staff, board members and external partners.Problem-solving with strong decision-making capability.Ability to discern urgency of response and appropriate parties to involve.Skilled at quickly shifting focus or reprioritizing tasks.Ability to identify inefficient processes and proactively improve them.Required Experience:1–3 years of administrative, event coordination, training support, or nonprofit operations experience.Strong proficiency in Microsoft Office (Outlook, Word, Excel, Teams, SharePoint, and Power Point), Adobe, Zoom, and standard office equipment.Experience with meeting and event support.Strong attention to detail.Excellent customer service and interpersonal skills.Excellent written and oral communication skills.Ability to adapt and manage multiple projects simultaneously, work independently, prioritize responsibilities, and identify and resolve conflicts in a timely and appropriate manner.Candidates must reside in the Austin, Texas area and have reliable transportation with the ability to travel to CACTX’s Austin office as required.

    Description

    Under the supervision of the Chief Prevention Officer and in alignment with organizational strategy, the Program Director will play a key role in advancing innovative approaches to protecting children, including the expansion of our child sexual abuse prevention initiative, and the development of additional strategies that protect childhood.


    This position supports a dynamic portfolio of strategies and projects, providing leadership in project management, strategic development, evaluation, and cross-sector partnership building. The ideal candidate is highly organized, a strong communicator, collaborative, and thrives in evolving environments. This is a high-autonomy role suited for a mid-career professional equally comfortable managing details and contributing to big picture strategy.


    Essential Job FunctionsManage complex projects, including, but not limited to, research projects, pilot initiatives, program development, and contracts with vendors and/or consultantsSupport the design, incubation, testing, and scaling of innovative strategies, including expansion efforts related to our child sexual abuse prevention initiative.Develop issue specific content and messaging for a variety of audiences and applications, including reports, presentations, proposals, and campaigns focused on programmatic initiativesCreate practical tools, guidance, and resources to support key programmatic implementation, continuous improvement, and field adoptionIn partnership with a cross-functional team, engage proactively in the identification and cultivation of strategic partnerships and stakeholders to advance programmatic strategiesTranslate strategic priorities into clear workplans, timelines, deliverables, and measurable outcomes.In partnership with team members and vendors, identify evaluation and data collection needs, methods, and opportunities that will enable meaningful impact measurement of programmatic effortsStay informed on emerging research and best practices and contribute to the organization’s thought leadership in child abuse prevention and related strategies.


    Minimum Educational and Professional RequirementsBachelor’s degree is required.5-8 years of relevant professional experience (e.g., high-impact program development, strategy, philanthropy, communications, or related fields).Demonstrated experience managing complex projects and driving initiatives from concept through execution.Exceptional written and verbal communication skills, including the ability to synthesize complex information and tell compelling, data-informed stories. Strong interpersonal skills with high emotional intelligence, professionalism, and sound judgment.Familiarity with issues related to child abuse prevention, trauma-informed approaches, and/or children’s advocacy centers preferred.Ability to connect day-to-day work to broader organizational and field-wide impact.Demonstrated learning agility, with the ability to absorb new subject matter and apply insights rapidly.Ability to travel.     Description: The Manager of Technology Projects & Implementation is responsible for technology project execution at CACTX. Reporting to the COO, this role receives defined project scope, vendor relationships, and strategic direction from leadership, and is accountable for delivery — managing timelines, stakeholders, vendors, and cross-functional teams through implementation and evaluation. A critical dimension of this role is operating within a highly regulated data environment: CACTX works alongside law enforcement, prosecutors, child welfare agencies, and federal grantors, requiring this person to understand the legal and compliance landscape governing data use, sharing, and system access. Beyond compliance, the role demands practical fluency in how data moves, is structured, and is governed across systems — particularly in the context of migrations, integrations, and platform transitions where data integrity and continuity are critical. Critically, this person achieves results through orchestration — directing vendors, technical partners, and internal stakeholders — rather than as a sole practitioner and must bring enough technical depth to lead those relationships credibly.


    Essential Job Functions:Receive project handoffs from COO, including defined scope, vendor context, and strategic objectives, and manages the project through to completionManage the full project lifecycle: requirements gathering, workplan development, process design, resource coordination, implementation, testing, and post-go-live evaluationLead and coordinate with vendors, technical partners, and internal stakeholders on application rationalization efforts, platform transitions, and system integrations, including data mapping, migration planning, and validation, ensuring business requirements are clearly understood by technical teams and that technical decisions are communicated back to program and operations staffDirect vendors and internal teams in the execution of technology platform and product implementations, ensuring alignment with the multi-year technology strategy roadmap set by the COOIdentify compliance implications of technology decisions, including data sharing, system access, and vendor contracts, and escalate to COO and legal counsel as appropriateReview and support vendor contracts, BAAs, data use agreements, and SOWs for technical accuracy and alignment with organizational compliance requirementsMaintain project budgets, timelines, and milestone tracking; identify and communicate risks to the COO with recommended mitigation strategiesLead change management and internal communications for assigned projects, including training coordination, stakeholder updates, and adoption supportWork with process and program owners across departments to identify inefficiencies and co-develop recommendations that optimize workflows and ensure staff time and resources are focused on the work that matters mostIn partnership with IT and relevant stakeholders, monitor the evolving technology and regulatory landscape for emerging risks and develop preliminary mitigation proposals for COO reviewManage vendor performance throughout the project lifecycle, including deliverable tracking, SLA oversight, and escalation coordinationDevelop and maintain project documentation including charters, status reports, risk logs, decision logs, and lessons learned
