    Job DescriptionJob DescriptionJob Title: Project Manager Assistant – Signs & Painting ContractorPosition Overview: 
    The Project Manager Assistant will assist in coordinating the logistics of signs and painting projects, including inventory management, ordering supplies, handling permits, and ensuring job sites are properly equipped. The ideal candidate will have strong organizational skills, experience with project coordination, and an understanding of permitting processes in construction and contracting environments.  Key Responsibilities: Project Support: ·         Assist Project Managers: Provide administrative and logistical support to project managers, helping coordinate signs and painting projects from initiation to completion. ·         Schedule Coordination: Track project timelines, deadlines, and milestone completions, ensuring tasks are completed on schedule. ·         Documentation: Maintain accurate records for each project, including contracts, change orders, drawings, permits, city business licenses, and other essential documentation.  Inventory Management: ·         Track Inventory: Maintain accurate records of materials, tools, and equipment used on job sites. ·         Stock Replenishment: Monitor inventory levels and reorder supplies to prevent delays and keep projects on track.·         Storage Organization: Ensure materials and supplies are organized and stored properly to minimize waste, damage, or loss.·         Inventory Audits: Conduct regular audits of inventory to reconcile discrepancies and ensure materials are accounted for. Ordering Supplies and Equipment: ·         Procurement: Order materials, tools, and equipment required for upcoming projects, ensuring quality and cost-efficiency standards are met. ·         Vendor Coordination: Communicate with vendors and suppliers to obtain pricing, order supplies, and coordinate timely deliveries. ·         Delivery Tracking: Track the delivery of materials and equipment to job sites, ensuring all orders are complete and on time. ·         Cost Control: Monitor supply orders to ensure they remain within budget and maintain records of all purchases for project tracking. Reconcile credit card receipts.  Job Site Support:·         Job Site Coordination: Ensure job sites are properly equipped with the necessary material and equipment for successful project execution.·         Logistics Management: Coordinate transportation and delivery of materials and equipment to job sites.·         Waste Management: Help track and manage waste disposal, minimizing waste and ensuring efficient use of materials. Permitting and Compliance:·         Permit Applications: Assist in applying for the necessary permits for signage and painting projects, ensuring compliance with local, state and federal regulations.·         Permit Tracking: Track the status of permits and communicate with local government agencies to ensure permits are obtained and approved before work begins.·         Permit Documentation: Ensure that all required permit documentation is filed and maintained, including inspections and approvals.·         Compliance Monitoring: Assist in ensuring that all projects adhere to zoning, building codes, safety regulations, and other applicable legal requirements. Safety and Compliance: ·         Safety Documentation: Update and track all safety documents.  ·         Safety Equipment: Ensure that job sites are equipped with necessary safety gear and materials to comply with OSHA regulations. ·         Regulatory Compliance: Ensure compliance with safety standards, building codes, and other relevant industry regulations on job sites.  Administrative Support: ·         Project Reporting: Help prepare status reports, updates, and financial summaries for project managers and senior leadership. ·         Daily Labor Reports: Collect and track all daily labor reports. ·         Communication: Serve as a liaison between project managers, field teams, suppliers, and vendors to ensure smooth project execution. ·         Accounts Payable: Process and ensure accuracy of all AP for all projects.   Qualifications: ·         High school diploma or equivalent; a degree or certification in construction management, project management, or a related field is a plus. ·         2+ years of experience in project coordination or support, preferably in the construction, signage, or painting industries. ·         Experience with inventory management, supply ordering, and logistics coordination.·         Familiarity with permitting processes, including knowledge of local building codes, zoning regulations, and construction permits.·         Proficiency in using project management tools, inventory management software, and Microsoft Office Suite (Excel, Word, etc.). ·         Strong organizational skills and ability to prioritize tasks effectively. ·         Excellent communication and interpersonal skills, with the ability to work well with vendors, team members, and local government agencies. ·         Ability to manage multiple tasks and solve problems in a fast-paced environment. ·         Valid driver’s license and ability to travel to job sites as needed.Working Conditions: ·         Full-time position. ·         Primarily office-based with occasional travel to job sites to oversee inventory, permit applications, and supply deliveries.·         Standard working hours (Monday to Friday) with occasional overtime during peak project phases.   Company DescriptionCDI was established in 2006 and has been a reputable company throughout California for the last 19 years.
