Position Overview
C.S. Flournoy is seeking a reliable and organized Administrative Assistant to support daily office
operations. This role is critical to keeping our office running smoothly by handling customer
communication, scheduling, tracking jobs, and supporting our field crews and sales team.
Key Responsibilities
Answer incoming calls, enter leads, schedule appointments, and take paymentsMonitor and respond to emails and Slack messages dailyTrack job progress and update job statuses as work is completed/crew productionConfirm scheduled estimates for the following dayAssist sales team and office staff with administrative tasksSubmit utility locate requests and coordinate with Dominion as neededMonitor fleet tracking and report any issues (speeding, location concerns, etc.)Manage company Facebook page and digital sign board updatesOrder and track equipment and crew inventoryMaintain filing systems for completed jobs and work ordersPrepare materials for safety meetings and ensure proper documentationPrint and maintain company forms (work orders, new hire packets, etc.)
Job Instructions / Daily Expectations
Be on time and ready to work during scheduled hours (10:30 AM 4:30 PM)Answer phones professionally and handle customer needs efficientlyStay organized and keep up with multiple tasks throughout the dayCommunicate clearly with crews, sales staff, and managementKeep job records accurate and up to dateno backlogFollow up on open tasks (locates, scheduling, etc.)Maintain a professional and positive attitude with customers and team membersReport problems immediately and help find solutions
Qualifications
Previous administrative or office experiencePrevious managing crews, coordinating schedules, or overseeing field operations preferredStrong communication and organizational skillsAbility to multitask and work in a fast-paced environmentBasic computer skills (email, spreadsheets, scheduling systems)Self-motivated and dependable
