Position Overview
The Operations Manager is the backbone of Bona Dea Gynecology’s high-performing, mission-driven team. This part-time role (minimum 25 hours/week) is ideal for someone who thrives on creating order, loves problem-solving, and is passionate about helping women live healthier, more empowered lives.

Maintain ≥90% average daily booking rate for provider schedules.
Fill ≥50% of last-minute cancellations with same-week waitlist patients.
Pre-confirm ≥95% of appointments at least 48 hours in advance.
2. Call & Message Management
Respond to or return 100% of calls within 2 hours during business hours.
Keep weekly phone abandonment rate under 5%.
Route calls and messages with ≥95% accuracy after chart review.
Ensure proper auto-routing of incoming calls via phone tree system.
3. Registration & Portal Onboarding
Collect and verify 100% of patient demographics and appointment data prior to visits.
Educate 100% of new patients on patient portal use.
Add 100% of patient emails to the Flowdesk newsletter list during registration.
Use shared waitlist (Excel/Google Doc) when no appointments are available.
4. Check-In & Check-Out
Achieve 100% error-free patient check-ins.
Update demographics and insurance in Athena in real time.
Provide and upload all required forms (billing, privacy documents).
At check-out, ensure patients are scheduled, fully informed, and provided with printed orders, receipts, superbills, and reimbursement instructions.
5. Appointment Buckets (Portal-Initiated / RTO / Priority Scheduling)
Respond to 100% of portal appointment requests within 24–48 hours.
Process 100% of clinical priority bucket appointments daily.
Schedule 100% of RTO appointments within 5 days of being added.
6. Patient Experience & Satisfaction
Consistently achieve ≥90% positive patient feedback on service, friendliness, and professionalism.
7. Team Communication & Problem Solving
Maintain clear, documented task handoffs during shift changes.
Attend weekly check-ins to review performance, share workflow improvements, and collaborate with staff and leadership.
Provide flexible support based on clinical needs.
Required Skills & Qualities
2+ years of experience in a medical office or front desk role (preferred).
Proficiency with EHR systems (Athena strongly preferred).

Sterilize instruments and prepare surgical trays and consent forms at least 24 hours before procedures.
3. Patient Portal & Case Management
Review and respond to 100% of portal messages within 48 hours.
Route medication refills per protocol and offer Telehealth when appropriate.
4. Documentation & Order Follow-Up
Follow up on labs, referrals, and imaging orders promptly, ensuring inbox time is maintained under 14 days.
5. Rooming Efficiency
Room ≥95% or higher of patients within 5 minutes of check-in.
Collect and document vitals, review and update medications/medical history, and enter the chief complaint before the provider enters.
6. Performance Tracking & Collaboration
Complete daily scorecard metrics (5–15 minutes per day).
Participate in weekly leadership check-ins to discuss workflow improvements.
