    Position Overview

    The Operations Manager is the backbone of Bona Dea Gynecology’s high-performing, mission-driven team. This part-time role (minimum 25 hours/week) is ideal for someone who thrives on creating order, loves problem-solving, and is passionate about helping women live healthier, more empowered lives.

    You will oversee the practice’s daily operations, staff performance, financial and program reporting, and branded products & supplement management, ensuring excellence across every area of the business. This is a metrics-driven leadership role with clear performance outcomes.

    The position requires you to be strategic, resourceful, and proactive, with a balance of critical thinking, trustworthiness, and compassion. You will directly report to Dr. Tracy Verrico, CEO, and will play a key role in scaling the practice’s mission to transform women’s health.

     

    Key Responsibilities & Metrics for Success

    1. Office Oversight

    Implement systems that reduce waste, streamline workflows, and ensure ≥95% schedule utilizationMaintain ≥90% patient satisfaction scores (NPS & reviews)Lead and deliver 100% of strategic projects (program launches, technology implementation, partnerships) on time and within budgetFree up 40% or more of the CEO’s time by taking ownership of operations, HR, and reporting tasks

    2. HR Overview

    Hire 100% A-player staff using structured scorecards and interview protocols (measured by 2-week and 90-day performance reviews)Build a culture of excellence through clear role definitions, SOPs in Notion or other PM/CRM platform, and performance reviews using staff scorecardsEnsure 95%+ staff scorecard compliance and measurable performance improvementsResolve 100% of staff conflicts within 14 days and maintain a positive, solutions-focused work environmentConduct weekly, monthly, and quarterly team meetings to include training and development sessions to improve collaboration and efficiency

    4. Supplements & Branded Products

    Monitor & provide daily, monthly, & quarterly financial reporting of supplement line performance via dashboard metrics, including revenue, profit margins, and top-sellersTrack Inventory & Forecast Demand – Maintain optimal stock levels, prevent backorders, and forecast future inventory needs based on sales trends and seasonal demand.Cost Optimization – Analyze the cost of goods sold (COGS), shipping, and packaging expenses to improve profit margins.Quarterly Product Profitability Reviews – Identify underperforming SKUs for possible discontinuation or rebranding.Customer Purchase Behavior Analysis – Identify repeat-purchase rates and develop retention strategies (e.g., loyalty programs, subscription models).Coordinate Promotions & Launch Campaigns – Work with marketing to plan product launches, flash sales, or seasonal promotions, tracking ROI for each.Develop SOPs for Supplement Sales & Replenishment – Create step-by-step workflows for ordering, receiving, stocking, and reporting.Automate Reporting Systems – Implement dashboards (e.g., Shopify, QuickBooks, or a custom CRM) for real-time updates on product performance.

    Position Overview

    The Patient Services Representative (PSR) is the face and voice of Bona Dea Gynecology. As the first point of contact for patients, you set the tone for the entire experience — ensuring every woman feels welcomed, supported, and cared for from the moment she reaches out.

    This part-time role is ideal for someone who is friendly, highly organized, detail-oriented, and thrives in a fast-paced medical environment. You will manage scheduling, patient communications, and check-in/check-out processes while maintaining exceptional service standards. Your performance will be measured by clear, results-driven metrics.

    Key Responsibilities & Metrics for Success

    1. Scheduling & Calendar Optimization

    Maintain ≥90% average daily booking rate for provider schedules.

    Fill ≥50% of last-minute cancellations with same-week waitlist patients.

    Pre-confirm ≥95% of appointments at least 48 hours in advance.

    2. Call & Message Management

    Respond to or return 100% of calls within 2 hours during business hours.

    Keep weekly phone abandonment rate under 5%.

    Route calls and messages with ≥95% accuracy after chart review.

    Ensure proper auto-routing of incoming calls via phone tree system.

    3. Registration & Portal Onboarding

    Collect and verify 100% of patient demographics and appointment data prior to visits.

    Educate 100% of new patients on patient portal use.

    Add 100% of patient emails to the Flowdesk newsletter list during registration.

    Use shared waitlist (Excel/Google Doc) when no appointments are available.

    4. Check-In & Check-Out

    Achieve 100% error-free patient check-ins.

    Update demographics and insurance in Athena in real time.

    Provide and upload all required forms (billing, privacy documents).

    At check-out, ensure patients are scheduled, fully informed, and provided with printed orders, receipts, superbills, and reimbursement instructions.

    5. Appointment Buckets (Portal-Initiated / RTO / Priority Scheduling)

    Respond to 100% of portal appointment requests within 24–48 hours.

    Process 100% of clinical priority bucket appointments daily.

    Schedule 100% of RTO appointments within 5 days of being added.

    6. Patient Experience & Satisfaction

    Consistently achieve ≥90% positive patient feedback on service, friendliness, and professionalism.

    7. Team Communication & Problem Solving

    Maintain clear, documented task handoffs during shift changes.

    Attend weekly check-ins to review performance, share workflow improvements, and collaborate with staff and leadership.

    Provide flexible support based on clinical needs.

    Required Skills & Qualities

    2+ years of experience in a medical office or front desk role (preferred).

    Proficiency with EHR systems (Athena strongly preferred).

    Excellent communication, organization, and multitasking skills.

    Ability to work independently in a high-volume setting.

    Familiarity with HIPAA and patient privacy protocols.

    2. Clinical Readiness & Supply Management

    Clean and restock rooms at the start and end of the day and between patients (100% compliance).

    Sterilize instruments and prepare surgical trays and consent forms at least 24 hours before procedures.

    3. Patient Portal & Case Management

    Review and respond to 100% of portal messages within 48 hours.

    Route medication refills per protocol and offer Telehealth when appropriate.

    4. Documentation & Order Follow-Up

    Follow up on labs, referrals, and imaging orders promptly, ensuring inbox time is maintained under 14 days.

    5. Rooming Efficiency

    Room ≥95% or higher of patients within 5 minutes of check-in.

    Collect and document vitals, review and update medications/medical history, and enter the chief complaint before the provider enters.

    6. Performance Tracking & Collaboration

    Complete daily scorecard metrics (5–15 minutes per day).

    Participate in weekly leadership check-ins to discuss workflow improvements.
