Bon Secours Wellness Arena, one of the South’s premier entertainment destinations, is seeking an experienced Executive Administrative Assistant to join our team. This successful candidate will be an enthusiastic, highly organized individual who thrives in multi-tasking in a fast-paced environment. The Executive Administrative Assistant will serve as staff liaison to the Greenville Arena District Board of Trustees, and provide comprehensive support to the executive team, managing a busy calendar, and working closely with staff and stakeholders to ensure smooth day-to-day operations.
Board Liaison:
Coordinate Board Meetings and Committee Meetings (agenda development, meeting notices, attendance tracking, and meeting material preparation).Attend Board Meetings and prepare meeting minutes in a timely and accurate manner. Publish and communicate minutes in accordance with public meeting laws.Develop relationships with Board Members and often act as the first point of contact for the Board’s general queriesSupport all logistics for meetings including virtual, on-site, and in-person supportEnsure Greenville Arena District website is up-to-date with Board Member bios, meetings, agendas, and notices.Requirements

This position is responsible for assisting in the overall management and execution of the daily box office operations at the Bon Secours Wellness Arena and other venues managed by the Greenville Arena District (“GAD”).
Essential Job Functions: Through employee’s own efforts and/or through the efforts of direct reports:
Ticket Operations:
Maintain files on each event such as production kills, seats on hold, complimentary tickets, event audits and ticket inventory; maintain organized and thorough event files. Create maps, map changes, promo changes, build and submit events in the Ticketmaster system in an exact and accurate manner.Ensure all box office reports, scaling, on-sales, and statements are executed in a timely and accurate manner in accordance with the directions provided by the Box Office Manager. Establish and maintain strong working relationships with promoters, Ticketmaster representatives and artist representatives. Work closely with Box Office Manager and relevant promoters for show builds, price changes, and ticket requests. Maintain all ticketing processes to maximize efficiency and ensure audit compliance and accountability. Prepare cash banks, daily deposits and cash receipts. Verify daily cash reports, prepare seller reports and end-of-day reports. Assist the Box Office Manager in maintaining accurate vault funds and recordsMonitor all performances to ensure correct pricing, dates, times, and other pertinent information. Communicate accurate event information, including ticket pricing and event configurations, timely to ticket sellers and other departments.Supervises preparation of on-sale information and ticket orders as they need to be sent out. Ensure the fulfillment of house seats, comps, trade requests, and promotions.Troubleshoot customer service issues to provide the fastest and most positive customer resolutions. Assure all customer concerns are resolved in an efficient and professional manner.Maintain, organize and track all cash to card transactions in an accurate and timely fashion. Prepare deposits and reports as needed for cash to card transactions.Oversee aspects of Ticketmaster equipment including computers and ticket scanners.Managerial Duties:
Assume responsibility for managing Box Office operations during the Box Office Manager’s absence, including staff supervision, operational oversight, and resolution of routine issues.Assume full managerial responsibilities and oversight of Premium Services in the Box Office Manager and/or Premium Services Coordinator absences.Assist with the selection, onboarding, training, and supervision of box office staff. Provide clear direction, coaching, and support to promote consistent department procedures, high-quality service, teamwork, accountability, and a positive, professional work environment. Address staff concerns or conflicts timely, seeking assistance when needed.Develop, manage, and communicate monthly staff schedules to support event coverage and department needs. Review and approve part time staff timekeeping records, including verifying shift times, confirming appropriate class coding, and addressing discrepancies in accordance with established procedures.DEADLINE: Position will remain open until filled.
