We are a growing waste and industrial services company seeking a dependable, detail-oriented Industrial Office Administrator to support our daily operations. This is a fast-paced, hands-on role that combines accounts receivable/payable, customer communication, and operational office support within an industrial environment.
We’re looking for someone who understands the pace and demands of industries such as waste, trucking, transportation, construction, warehouse, logistics, or industrial services and is comfortable wearing multiple hats in a small business setting.
If you are organized, proactive, capable of wearing many hats and enjoy being the person who helps keep operations running smoothly, we’d like to meet you.
What You'll Be Doing
Managing daily office, warehouse, and administrative support functionsAnswering phones and directing customer and service-related callsResponding to emails and maintaining timely communication with customers and vendorsWorking in Microsoft Office (Word, Excel, Outlook) for administrative and reporting tasksUsing QuickBooks Desktop Enterprise for accounting and office support functionsSupporting Accounts Receivable and Accounts Payable activitiesMaking collection calls and confirming outstanding balances professionallyPosting payments including checks, ACH, and credit card transactionsMaintaining accurate customer records, billing details, and service informationPreparing and sending service proposals and customer paperworkAssisting with compliance documentation for new and existing customersLearning and utilizing route management and billing software to support operations
What We're Looking For
5+ years of administrative, accounting, or office support experience in an industrial environment.Experience in an industrial, warehouse, transportation, waste, construction, or similar environment strongly preferredExperience with Accounts Receivable, Accounts Payable, or collectionsWorking knowledge of QuickBooks Desktop (Enterprise preferred)Strong Microsoft Office skills, especially Excel and OutlookComfortable handling customer and vendor communication by phone and emailStrong attention to detail and organizational skillsAbility to manage multiple priorities in a fast-paced officeWillingness to learn company systems and support operational workflowsDependable, professional, and comfortable working in a small business environment
