    Job Overview: 

    The Site Supervisor leads the daily operations of the Be Strong After School Club (BSASC) at
     Palm Glades Preparatory Academy, located at 22655 SW 112th Ave, Miami, Florida and Lake Stevens Middle School, located at 18484 NW 48th Pl, Miami Gardens, Florida 33055. This role is responsible for supervising site staff and contractors, ensuring program compliance with district, funder, and organizational requirements, and fostering a safe, engaging, and high-quality environment for students and families.


    Work Schedule for Palm Glades Preparatory Academy:

    Monday–Thursday, 3:10 p.m. – 5:10 p.m.up to 20 hours per week, aligned with after-school program hours at the assigned school site and additional responsibilities


    Work Schedule for Lake Stevens Middle School:

    Monday–Friday, 2:20 p.m. – 5:20 p.m.Up to 20 hours per week – aligned with after-school program hours at assigned school site and in office.


    Key Responsibilities and Duties

    Staff Leadership & Oversight

    Supervise and support Site Instructors and Security Monitor.Provide coaching and performance feedback.Monitor staff attendance, timekeeping, and payroll submissions.Address performance concerns in a timely and professional manner.


    Program Operations & Compliance

    Ensure site compliance with district, funder, and organizational policies.Maintain student enrollment records and monitor ratios (1:20).Coordinate with school administration regarding facilities and procedures.Ensure all staff maintain required certifications and identification badges.Perform in-office administrative duties, including preparing lesson plans and completing related documentation.


    Safety & Emergency Management

    Implement and monitor safety protocols for all activities.Respond to and document incidents, accidents, and safety concerns.Serve as the primary on-site contact for emergencies until resolved.Ensure Security Monitor is present until the last student is picked up.


    Educational Program Quality

    Facilitate Heart Skills curriculum weekly.Monitor instructional quality and student engagement.Support Site Instructors with curriculum implementation.Oversee special programs (arts, culinary, physical activities).Ensure program balance between academics, enrichment, and fun.


    Family & Community Engagement

    Coordinate and lead parent events and family engagement activities.Communicate regularly with families regarding programming.Address parents’ questions and concerns professionally.Represent BSI and the program at school and community events.


    Recruitment & Retention

    Develop and implement strategies to meet enrollment goals.Track attendance and student retention.Collaborate with school staff for student referrals.Meet recruitment and retention goals.


    Documentation & Reporting

    Maintain accurate attendance and program records.Submit reports as required by district, funders, or BSI.Document staff training completion and evaluations.Maintain organized records of incidents and safety reports.Maintain inventory of program materials.Complete all required training to maintain grant compliance.


    Qualifications

    Bachelor’s degree is preferred in education, social sciences, or related field.Minimum of 2 years of experience in youth programming, education, or after-school programs.Minimum of 1 year of experience guiding or supporting staff.Strong leadership, communication, and organizational skills.Proficiency with standard office software (email, spreadsheets, and data systems) and the ability to quickly learn new technologies.Must pass Level II background screening and sex offender registry check.


    Work Environment

    Position may require travel to and from assigned school site.Must be available during after-school hours, with occasional evenings for events.

The position requires extensive computer use so the employee must have sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen.     Job Overview 

    The Finance Manager is responsible for overseeing Be Strong International’s day‐to‐day financial operations while contributing to the organization’s long‐term financial strategy and sustainability. This role requires active involvement in accounting, budgeting, grant management, compliance and internal controls, as well as collaboration with senior leadership and cross functional teams to support informed decision‐making. This role requires strong nonprofit accounting expertise and fiscal management, the ability to build strong scalable systems, and a commitment to stewardship in support of a mission‐driven, values‐based organization. 
     

    Manager to list the top 5 critical duties for this role (these will be used to qualify/measure a new hire during their probationary performance review). 


    Financial Operations & Accounting Oversight
    Oversee daily accounting operations, including accounts payable, accounts receivable, payroll coordination, bank and credit card reconciliations, and general ledger maintenance, ensuring accuracy and compliance with GAAP. Budgeting, Planning& Financial Analysis 
    Lead, develop, manage, and monitor the organization’s annual operating budget in collaboration with the COO and leadership team; track budget‐to‐actuals, prepare forecasts, profit and loss reports, and provide variance analysis and recommendations to guide leadership team. Support program team leaders in managing budgets and understanding financial data and projections. Grant & Restricted Fund Management 
    Ensure grant and contract funds are tracked, allocated, and reported accurately in compliance with funding agreements and organizational policies. Process amendments as needed. Provide insights and strengthen systems and processes that align with grants management and financial accountability. Compliance, Audit & Financial Risk Management 
    Prepare monthly, quarterly, and annual financial reports for various stakeholders (board of directors, funders, leadership team, etc.) support annual agency and grant funded program audits, prepare 990, indirect cost rate agreement and ensure compliance with federal, state, and local nonprofit financial regulations. Ensure proper internal controls. Process Improvement and Scalability 
    Continuously evaluate, present and improve financial processes and systems to support organizational growth. Implements under the guidance of the COO, efficiencies that reduce manual processes and additional costs to improve accuracy and can prepare the organization to scale its programs and social enterprise.  

     

    Additional Responsibilities and Duties 

    Support the development and maintenance of financial policies, procedures, and internal controls. Collaborate with program leaders to align financial planning with program goals and grant requirements. Identify financial risks and provide mitigation strategies. Develop and improve systems that reduce manual work and support organizational growth. Translate financial information for non‐financial staff to promote transparency and shared accountability. Participate in leadership meetings and special projects related to organizational growth and sustainability. Support continuous improvement of financial operations as the organization continues to scale. Directly oversees Grant Accountant, Bookkeeper or other assigned roles. Assists COO to build dashboards that allow leadership and cross team collaborators to view programmatic or agency-wide financials at a glance. Integrate financial data with CRM systems to improve efficiency as needed. Present quarterly financial presentations to the Board of Directors and additional stakeholders as needed. Other duties as assigned. 

    Required Experience, Qualifications and Skill 

    Bachelor’s degree in Accounting, Finance, or a related field. Minimum of eight (8) years of progressively responsible experience in nonprofit finance or accounting. Minimum of three (3) years of experience in a supervisory, lead, or management role Strong knowledge of nonprofit fund accounting, GAAP, and grant compliance requirements. Demonstrated experience in budgeting, forecasting, financial reporting, audits, and restricted funds management. Proficiency in Quickbooks, Excel, pivot tables, XLOOKUP, data visualization and AI tools (Power BI, Zapier, etc). Strong analytical, organizational, and problem‐solving skills. Ability to communicate complex financial information clearly to non‐financial stakeholders and collaborate across departments.  Capacity to identify financial risks, optimize processes, and provide actionable recommendations for business growth.

Reporting directly to the CEO, this position is responsible for shaping and executing the organization’s public image, message consistency, and visibility across local, national, and digital platforms. The Manager leads the development and implementation of integrated marketing, communications, fundraising, and social enterprise strategies that strengthen Be Strong’s impact and align with its strategic plan. This role requires a highly creative, data-driven, and collaborative leader who can balance big-picture vision with operational execution, managing a team and external partners to ensure excellence in storytelling, brand positioning, and stakeholder engagement. 


    Additional Responsibilities and Duties 

    Develop and implement Be Strong’s annual communications and marketing plan with measurable goals and outcomes.Collaborate with the Development Team to craft fundraising campaigns, appeals, donor messaging and donor engagement strategies. Oversee the creation and execution of multimedia content including videos, newsletters, social media, and press materials.Direct crisis communications and serve as advisor to the CEO and executive team on public positioning and messaging.Ensure alignment of Be Strong’s brand with all internal programs, events, and public campaigns.Oversee the agency’s digital ecosystem including websites, CRM tools, SEO, AI, and analytics dashboards. Lead vendor and partner relationships related to advertising, public relations, and creative production.Represent Be Strong International at conferences, panels, and community engagements to expand public presence and partnerships.Support the development and delivery of internal and external marketing campaigns. Manage brand voice and ensure consistent messaging across all channels.Manage relationships with media agencies, PR firms and key stakeholders both internal and external to maximize brand consistency. Organize PR events and serve as the company’s spokesperson.Collaborate with the COO, Development, and Program teams to ensure communications strategies support growth and impact goals.Manage Social Enterprise Manager and support with marketing product and sales strategies. Address inquiries from the media and other parties.Manage departmental budget, adhere to BSI financial policies and ensure that all marketing and communications initiatives are cost-effective and high-impact. Ensure compliance with industry regulations and standards.Identify opportunities for new marketing channels and partnerships. Stay updated with the latest marketing technologies and trends.Monitor and evaluate communication metrics and compare with industry standards, providing quarterly high level media activity reports to the CEO and board on visibility, engagement, and outcomes. Promote Be Strong’s mission through storytelling that celebrates connection, growth, belonging, and community impact.Collaborate with Development to ensure successful fundraising and corporate events reflect brand messaging and guidelines. Maintain and update company event calendar. Maintain confidentiality and represent Be Strong International with integrity and professionalism in all communications. 

     

    Required Experience, Qualifications and Skills 

    Master’s degree in communications, marketing, business, or a related field required. Minimum of ten (10) years of experience in communications, marketing, or public relations with at least five (5) years in a senior leadership role.Proven experience developing and executing integrated brand and communications strategies.Strong background in fundraising communications and marketing for social enterprise initiatives.Proficiency in digital marketing, analytics, and CRM tools. Exceptional written and verbal communication skills with the ability to craft compelling narratives.Strong project management, organizational, and leadership abilities.Knowledge of Miami-Dade and Broward County communities and diverse populations preferred.Bilingual (English/Spanish or English/Creole) preferred.Ability to commute to additional BSI site locations across Miami-Dade and Broward County.

    Program Leadership, Implementation & Quality Assurance 
    Lead the planning, implementation, and oversight of the Marriage Matters Program across Miami-Dade and Broward Counties, ensuring services are delivered with fidelity to evidence-based curricula, program standards, and BSI’s mission. Compliance, Contracts & Funder Deliverables 
    Ensure full compliance with all contract requirements, funding guidelines, and reporting deadlines by overseeing contract amendments, continuation of applications, assessments, and required program deliverables. Staff Supervision & Performance Management 
    Supervise and manage a multidisciplinary team of approximately six staff and contractors by overseeing onboarding, training, performance evaluations, required certifications, corrective actions, and ongoing professional development. Data Oversight & Program Evaluation 
    Oversee program data collection, analysis, and reporting by collaborating with the Data Department to ensure accuracy, completeness, and timely submission of reports while using data to monitor outcomes and drive program improvements. Strategic Partnerships, Budget Oversight & Program Growth 
    Manage program budgets in collaboration with Finance, ensure timely and appropriate use of funds, and build strong relationships with funders, evaluators, community partners, and stakeholders to expand program reach and sustainability. 


    Additional Responsibilities and Duties.  

    Program Manager will ensure direct reports are properly trained on: Contract Compliance, Program Curriculum, Marriage Matters Strategies and
    trainings, as required.  Identify new program opportunities, partnerships, and funding streams aligned with BSI’s mission. Create and maintain
    necessary systems for effective program management.  Create and/or update documents such as: SOPs, Participant Application (intake form), Program Policies & Procedures, and Surveys required by the funder and/or BSI.  Update Contract amendments or modifications as needed.  Update ‘Continuation Application’ for funding renewal, at the end of each program year.  Maintain good working relationships with the Contract Managers, program staff, evaluator and curriculum developer, as well as community leaders and partners.  Work together with the Accounting Manager and accounting for budget purposes, spending the money allotted by the end of each quarter.  Give administrative guidance and support to Program Coordinator, Success Coaches, Contracted Professionals, Data Analysts, and Finance team.  Monitor coordination and scheduling of all the mandatory program's activities and other events.  Ensure program is properly staffed at all times, including those contracted for Professional Services.  Ensure reports, assessments and other deliverables are completed by staff and participants and meet reporting deadlines.  Ensure the Data Department is analyzing all data, catching any errors or omissions on all programmatic data collected and that staff adhere to proper data collection practices.  Travel
    regularly
    to programmatic sites between Miami-Dade and Broward County to oversee program implementation, ensure compliance and maintain
    high-quality programming.
     Complete program observations and curriculum fidelity implementation, if applicable.  Manage a team of 6
    staff members, including onboarding, training, performance evaluations, completion of required training, and when necessary, administering PIPs, verbal/written warnings, probationary reviews, and annual evaluations.  Other duties as assigned.  

    Required Experience, Qualifications and Skills
     

    Master’s degree required in education,
    social work, counseling
    or related field  Bilingual English/Spanish required
     Five (5) years minimum experience in adult and family program development and administration.  Three (3) years minimum of supervisory experience  Building and nurturing relationships to expand reach and impact. Leadership skills to lead team members towards achieving a common goal.  Excellent self-starter and self-motivated.  Grants writing, management and contract review experience are a plus.  Experience working with federal, state, and local programs is a plus.  Proficiency in computer skills and programs such as Microsoft Office: Word, PowerPoint, Outlook, and Excel.  Ability to learn new software and utilize new tools.  Time Management skills.  Highly organized, detailed oriented and dependable  Excellent communication skills (written and verbal).  Resourcefulness: the ability to address problems large and small  Strong interpersonal and conflict resolution skills  Able to prioritize and respond quickly to program needs.  Must be able to prioritize tasks effectively.
     

    Essential Job Demands and Responsibilities:

    Program Facilitation & Participant Engagement

    Additional Responsibilities and Duties

    Facilitate mandated curricula as outlined in agency contracts and program requirements.Research, gather, develop, and enhance lessons, activities, and curriculum content appropriate for the target population.Maintain curriculum fidelity and adhere to agency-wide training requirements.Coordinate participant support services, including childcare, meals, transportation assistance, and incentives, in collaboration with the Program Manager and Case Manager.Assist in planning and coordinating workshops, orientations, field trips, completion ceremonies, and special events.Administer, collect, and submit participant assessments, surveys, evaluations, and outcome measures.Collect, review, and submit participant intake forms, attendance records, sign-in sheets, and other required documentation.Ensure all participant documentation is completed accurately, submitted on time, and maintained according to agency policies.Identify participant needs and provide referrals to Case Managers or community resources as appropriate.Provide educational support and encourage participant engagement throughout the duration of the program.Assist with subcontractor coordination and invoice collection, review, and submission according to agency procedures.Maintain regular communication with participants, community partners, and internal staff through phone, email, and agency management systems.Support quarterly workshops, community events, outreach activities, and program initiatives.Provide documentation and participant records to the Data Team for reporting purposes.Monitor participant progress and contribute to outcome tracking and program evaluation efforts.Attend all required staff meetings, agency events, trainings, and professional development opportunities.Represent Be Strong International professionally at all times within the community.Ensure compliance with federal, state, county, funder, and organizational requirements.Complete all required trainings before established deadlines.Perform other duties as assigned.


    Required Experience, Qualifications and Skills

    Be Strong International is seeking an experienced Security Monitor to provide security services for our after-school program at Lake Stevens Middle School in 18484 NW 48th Place, Miami Gardens, Florida. The Security Monitor will help maintain a safe, secure, and welcoming environment for students, staff, and visitors during designated program hours. This part-time position requires strong observation skills, professionalism, and the ability to respond effectively to safety concerns while supporting a positive atmosphere for youth development.


    Work Schedule: 

    Monday–Friday, 2:20 p.m. – 5:20 p.m.Approximately 15 hours per week, aligned with after-school program hours at the assigned school site.Security Monitor is expected to remain on-site until the last student has been released to an authorized adult.


    Responsibilities:

     

    Campus Safety & Student Supervision

    Monitor program entry and exit points during after-school program hours.Conduct perimeter checks and observes program areas to support a safe environment.Prevent unauthorized student departures and notify the Site Supervisor immediately if such incidents occur.Provide a visible, professional presence to promote student safety until program conclusion.

     

    Parent Pickup & Student Release

    Enforce student sign-out procedures in line with program requirements.Verify parent/guardian identity before releasing students.Record late pickups, enforce late pick up fees, and communicate recurring issues to the Site Supervisor.Greet families courteously and direct program-related questions to the Site Supervisor.

     

    Facility Security & Reporting

    Conduct visual safety checks of classrooms, outdoor areas, and common spaces used by the program.Report maintenance issues, hazards, or security concerns to the Site Supervisor.Document safety-related incidents or unusual events as required.

     

    Supportive Engagement

    Promote a welcoming and positive environment for students and families.Collaborate with staff as needed to support safe transitions during dismissal and special events.

     

    Qualifications:

    Preferred prior experience in MDCPS and/or BCPS school safety, youth supervision, or security services.Ability to enforce safety and security procedures consistently and professionally.Strong observation and conflict resolution skills.Professional demeanor when interacting with students, families, and staff.Must maintain current CPR/First Aid certification.Must pass Level II background screening and sex offender registry check.
