About the Role
We are seeking a highly organized, detail-oriented, and proactive Administrative Assistant to support our Aviation Repair Department. This role is ideal for someone who enjoys a fast-paced environment, thrives on accuracy, and takes pride in keeping operations running smoothly.
The Administrative Assistant will handle a variety of administrative tasks, maintain detailed repair and compliance records, coordinate with technicians and vendors, and communicate effectively with both customers and internal teams.
Key Responsibilities
Provide general administrative support including scheduling, managing calendars, and handling correspondence.Maintain and update repair records, service logs, parts inventory, and work orders in compliance with aviation standards.Communicate with customers regarding repair status, service quotes, and scheduling updates.Assist with ordering, tracking, and inventory management of repair parts and materials.Coordinate repair schedules with technicians, vendors, and customers to ensure timely completion.Ensure departmental compliance with all aviation safety standards and FAA regulations.Prepare and maintain reports on repair progress, performance, and customer issues.Support daily office operations including filing, organizing, answering calls, and managing emails.
Qualifications
Education: High school diploma required; Associate degree in business, aviation, or related field preferred.
Experience: At least 2 years of administrative or office support experience, preferably in an aviation or repair environment.
Technical Skills: Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with aviation maintenance software is a plus.
Attention to Detail: Strong ability to manage multiple priorities with a high level of accuracy.
Communication: Excellent verbal and written communication skills.
Organizational Skills: Proven ability to prioritize tasks and meet deadlines.
Teamwork: Works collaboratively with technicians, managers, and other staff.
Problem Solving: Demonstrates initiative in addressing challenges and customer concerns effectively.
Preferred Qualifications
