    About Us

    Asvar Law is a California litigation firm focused on complex and catastrophic personal injury and workers’ compensation matters. This is not a traditional office manager position. We are entering a significant growth phase and are seeking a highly capable operational leader to help build the infrastructure, systems, technology, and processes necessary to support the firm's long-term expansion.

     

    This role is designed for someone who enjoys creating order from complexity, implementing systems, leading projects, improving operations, leveraging technology, and helping a growing organization reach its full potential.  The successful candidate will work directly with the firm's founder and leadership team to help transform a successful litigation practice into a highly scalable and operationally sophisticated law firm.

     

    Primary Objectives:

    Over the next year, the person in this position will help:

     

    • Implement a modern legal case management platform
    • Design and document firmwide workflows and procedures
    • Create and maintain the firm's Operations Manual
    • Build KPI reporting and management dashboards
    • Improve accountability and operational consistency
    • Reduce administrative burdens on attorneys
    • Modernize and expand the firm's technology infrastructure
    • Oversee strategic marketing and website initiatives
    • Help position the firm for significant long-term growth

     

    Core Responsibilities

     

    Operations & Process Development

    • Analyze existing workflows and identify operational bottlenecks
    • Design, document, and implement scalable workflows and standard operating procedures (SOPs)
    • Create and maintain the firm's Operations Manual
    • Establish accountability systems and performance metrics
    • Lead implementation of operational improvements across departments
    • Coordinate special projects and strategic initiatives

    Technology & Case Management Systems

    • Lead evaluation, selection, implementation, and optimization of the firm's case management platform
    • Serve as the firm's primary system administrator
    • Develop workflows, automations, templates, and reporting systems
    • Manage software vendors and technology providers
    • Identify opportunities to utilize AI and automation tools
    • Ensure consistent adoption and utilization of firm technology

     

    Reporting & Analytics

    • Develop KPI dashboards and management reports
    • Track intake performance, case progression, client communication, and operational metrics
    • Create meaningful reporting for leadership decision-making
    • Monitor performance trends and identify opportunities for improvement

     

    Marketing & Growth Initiatives

    • Oversee redesign and modernization of the firm's website
    • Coordinate website developers, SEO consultants, content creators, and marketing vendors
    • Help build a digital presence designed to support the firm's growth over the next five years
    • Manage the firm's online reputation initiatives and client review programs

     

    Human Resources & Team Development

    • Assist with recruiting, onboarding, and training
    • Coordinate employee development initiatives
    • Help implement performance review systems
    • Maintain organizational structure and role clarity
    • Foster accountability and operational excellence

     

    Ideal Background

     

    Required

    • 5+ years of law firm administration, legal operations, practice management, or similar leadership experience
    • Strong project management and organizational skills
    • Demonstrated experience implementing systems and improving operations
    • Excellent communication and leadership abilities
    • Ability to manage multiple projects simultaneously
    • High attention to detail and strong follow-through

     

    Strongly Preferred

    • Plaintiff-side personal injury, workers' compensation, or litigation experience
    • Experience implementing Filevine, SmartAdvocate, Clio, or similar legal platforms
    • Experience creating SOPs, workflow maps, and operational manuals
    • Familiarity with legal accounting systems and QuickBooks
    • Experience managing website redesign projects
    • Experience coordinating digital marketing initiatives
    • Experience utilizing AI and workflow automation tools
