Job DescriptionJob DescriptionDescriptionJoin our clinical team as a Medical Office Assistant at Aspire Allergy & Sinus and play a key role in delivering exceptional care to patients with allergy, asthma, and sinus conditions.
In this role, you will support both the clinical and administrative sides of the clinic, assisting providers with patient care while also helping ensure smooth front-office operations. From greeting patients to administering allergy injections and coordinating patient information, you will help create a seamless and positive experience for every patient who walks through our doors.

Tuesday, 7:45am- 5:00pm (New Braunfels)
Wednesday, 7:45am- 5:00pm (Kyle)

What You'll Be DoingPatient Care & Clinical SupportSupport assigned medical providers in delivering high-quality patient care throughout the clinic dayAssist with the examination and treatment of patients under the direction of the providerEscort patients to exam rooms and obtain vitals, medical history, and current medicationsCommunicate allergy testing procedures and treatment protocols to patientsAdminister subcutaneous, intradermal, and intramuscular injections as directed by the provider and within scope of practicePerform spirometry and other diagnostic testing accurately according to clinic protocols and provider directionMonitor incoming pharmacy shipments and prepare medications for patient pick-upAssist providers and clinical team members in responding to anaphylactic reactions and other urgent patient needsDocument accurate patient information in the Electronic Health Record (EHR) systemMaintain clinic flow and support patient volume to ensure timely and efficient careReaching out to insurance providers to obtain CT authorizationsPatient Experience & Front Office SupportGreet and check in patients while creating a welcoming and professional environmentAnswer incoming phone calls and provide accurate information and assistanceSchedule and reschedule patient appointments using the clinic scheduling systemCollect patient payments for appointments and outstanding balancesEnsure patient demographic, insurance, and referral information is accurate in the EHRReaching out to insurance providers to obtain CT authorizations.Clinic Operations & Administrative SupportPrepare patient charts and organize paperwork for upcoming appointmentsScan and attach documents to patient records in the EHRRequest medical records from outside providers when neededCoordinate allergen vial transfers and assist with clinical inventory trackingMaintain supplies in the clinic, front desk, and common areasProcess incoming mail and assist with administrative clinic tasksEnsure end-of-day reports and logs are accurate and completeCompliance, Protocols & SafetyFollow all HIPAA regulations regarding patient privacy and confidentialityAdhere to OSHA requirements including universal precautions and sharps disposal guidelinesFollow clinic protocols and directions provided by clinical leadership and medical providersPerform all testing and treatment in accordance with Aspire Allergy & Sinus clinical protocols and safety measures
RequirementsMust have basic knowledge of medical terminologyMust possess exceptional customer service skillsMust be able to effectively and clearly communicate with others to exchange information effectivelyMust be able to administer subcutaneous, intradermal and intramuscular injectionsMust be able to manually take patient vital signsMust possess the ability to maintain effective working relationship with patients, medical staff and the publicMust possess the ability to react calmly and effectively in a difficult or emergent situationProlonged periods of standing, walking, bending, stooping, pushing, pulling, balance with full range of body motion including handling and lifting up to (20) lbsRequires manual dexterity sufficient to operate a computer/keyboard at (50) wpm, calculator, telephone, copier and faxRequires the ability to operate a motor vehicle to travel between clinicsRequired education and experienceMust have a valid driver's license6+ Months of Front Office Preferred education and experienceCompleted Medical Assistant Program or Degree1+ Years of Medical Assistant Experience1+ Years of Medical Receptionist ExperienceMedical Assistant Certificate, vocational nurse license or related experienceCurrent CPR Certification
