    We are seeking a professional, organized, and dependable Front Desk / Administrative Assistant to join our growing team. This individual will serve as the first point of contact for clients, visitors, vendors, and staff while supporting daily office operations and administrative functions.

    This role is ideal for someone who is detail-oriented, customer-service driven, and interested in long-term growth opportunities, especially within the construction industry.


    Key Responsibilities

    Front Desk Duties

    Greet and assist clients, visitors, vendors, and subcontractors professionallyAnswer, screen, and direct incoming phone calls and emailsMaintain a clean, organized, and welcoming reception areaReceive and distribute mail, packages, and deliveriesSchedule appointments and manage office calendars


    Administrative Duties

    Perform general clerical tasks including filing, scanning, copying, and data entryPrepare and organize documents, reports, invoices, and correspondenceMaintain office records and filing systemsAssist with scheduling meetings and coordinating office activitiesOrder office supplies and maintain inventorySupport management and team members with administrative tasks as neededMaintain confidentiality of company and client information


    Accounting & Office Support

    Utilize QuickBooks Online for invoicing, tracking expenses, and basic bookkeeping supportAssist with accounts payable and accounts receivable tasksMaintain organized financial and project-related documentationSupport project coordination and administrative processes within the construction industry


    Qualifications

    Minimum of 2 years of experience with QuickBooks Online requiredProficiency in Microsoft Office Suite (Word, Excel, Outlook)Previous front desk, receptionist, or administrative experience preferredStrong communication and customer service skillsExcellent organizational and multitasking abilitiesProfessional appearance and positive attitudeAbility to work independently and in a team environmentStrong attention to detail and problem-solving skillsBilingual (Spanish) is a plus
