Administrative Assistant Overview: The Administrative Assistant will report to the Partners, and will work closely with all other members of the Acuity team. The Administrative Assistant will provide in person support to client services team members to ensure that tasks are appropriately saved in Acuity's task management system, notes are updated, and client queries are responded to in a timely manner. The Administrative Assistant must be organized, detail-oriented, have strong problem-solving abilities, and have an eye for catching errors and creating efficiencies. They will balance both recurring tasks and attend to unscheduled needs, learning and growing along the way. Administrative Assistant Responsibilities: Process, scan, and organize incoming mail for both clients and Acuity business. Coordinate outgoing mail and filings including but not limited to postage and tracking labels Support the organization by regularly reviewing client documents to translate notes into actionable tasks for client-facing staff. Manage Acuity's Washington, D.C. office, including food and supply orders, maintenance requests, and ordering furnishings as needed. Assist partners in maintaining a secure, organized, digital document-storage system. Support the Partners and broader Acuity team by scheduling and rescheduling meetings. Complete data entry in Acuity's expense tracking system, Ramp, for client expenses and employee collaborative meetings. Assist the partners in planning special projects, such as partner and staff retreats. Perform other administrative support duties, as assigned. Administrative Assistant Qualifications: Bachelor's degree is preferred but not required. The ideal candidate has 2 or more years of work experience and is proficient in navigating Google Suite. Tech-Savvy. The ideal candidate has experience with Excel, Google Drive, and other digital tools. Experience with Ramp or similar online expense management platform is a plus. Keen attention to detail. The ideal candidate thrives in environments where precision matters. Comfortable working with large data sets. Proactive and creative problem solving. The ideal candidate enjoys troubleshooting issues and finding solutions to ensure compliance and accuracy. Ideally this person has tenacity and grit, as the correct answer is not always the most obvious. Organized and efficient: The ideal candidate is a self-starter, capable of managing multiple tasks and staying on top of deadlines in a fast-paced environment. Experience with task-management software is a plus. Interest in progressive politics. The ideal candidate has a passion for political campaigns. Prior understanding of campaign finance laws is a plus.
