    Description: Arcadia Management Services is looking for a Claims & Legal Manager - Residential Properties to join our exceptional team. In this role, you'll be responsible for supporting the residential property portfolio by managing eviction processes, coordinating litigation and claims, and partnering with internal teams and external counsel to mitigate legal and operational risk.

    This role supports the residential property portfolio by managing eviction processes, coordinating litigation and claims, and partnering with internal teams and external counsel to mitigate legal and operational risk.

    This is a hands-on, in-house role focused on execution, coordination, and continuous process improvement. The position serves as a key liaison between property operations, legal counsel, and insurance partners, ensuring compliance with applicable laws and consistency in case handling across the portfolio.

    This role is 100% in person in San Jose, CA. We do not offer remote work.

    Requirements: DUTIES AND RESPONSIBILITIES

    Executive Reporting & Stakeholder CommunicationPrepare and deliver regular reporting to the management team on eviction activity, claims status, legal trends, and risk exposurePresent monthly and quarterly summaries of portfolio-wide legal and claims activity, including key metrics, trends, and areas of concernProvide timely and ongoing updates to the President, CFO and Director of Residential Property Management on significant claims, litigation matters, and emerging risksEscalate high-risk or high impact matters promptly, ensuring leadership has clear visibility into potential exposure and recommended actionsDevelop clear, concise reporting materials that translate legal and claims data into actionable business insights Evictions & Lease EnforcementManage the full lifecycle of eviction (unlawful detainer) matters across the portfolioCoordinate with property managers, residents, and outside counsel to ensure timely and compliant filingsPrepare and review notices (e.g., pay-or-quit, termination notices)Track court deadlines, filings, and case statusMaintain accurate records and reportingEnsure consistent application of company policies and legal requirements across all properties Small Claims Court CoordinationManage small claims cases including unpaid rent, damages, and disputesEvaluate case outcomes for process improvementPrepare, file, and manage small claims actions including documentation, evidence, and court coordinationAttend hearings as needed and support property teams in case preparation Claims & Insurance ManagementManage liability, property damage, and tenant-related claimsMonitor self-insured retention or deductible Serve as contact with insurance carriers and adjustersCoordinate documentation and claim follow-upMonitor claim trends, loss drivers, and exposure to inform risk mitigation strategies and operational improvements. Identify recurring issues and partner with leadership to implement preventative solutions Legal & Outside Counsel CoordinationPartner with outside counsel on eviction and claims mattersManage documentation and case filesTrack legal spend, review invoices for accuracy, and support budget oversight Portfolio Risk & Compliance SupportMonitor compliance with California landlord-tenant, fair housing, and related regulatory requirementsProvide guidance to property teams on lease enforcement and documentation Operational Oversight & ReportingMaintain tracking systems for evictions, claims, and legal mattersPrepare reports on case activity and trendsDevelop procedures and templatesTrain property teams on processesDrive standardization of processes, templates, and documentation across the portfolio QUALIFICATIONS: 5 plus years of experience in litigation support and claims managementExperience working with California landlord-tenant law and eviction processesStrong organizational and case management skillsExcellent written and verbal communication skillsAbility to manage multiple priorities, meet deadlines, and adapt to changing demandsExperience working with property management teams and/or real estate operationsProficiency with property management software (e.g., Yardi), Microsoft Office, and cloud-based document systems (e.g., Box) Education:Bachelor's degree, Paralegal certificate, or equivalent combination of education and experience CORE COMPETENCIES:

    Overview

    The Leasing Consultant is a community sales representative whose primary responsibility is to greet clients, professionally present the features and benefits of the apartment community and properly secure lease agreements from qualified persons. A Leasing Consultant must be service oriented and focus on making potential and current residents feel welcome in the apartment community.

    Conduct all business in accordance with AMS policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other Federal and State laws.


    Greet and engage prospects via phone, email, walk-in’s and online. Greet prospective residents, determine needs and preferences and follows qualification process to rent. Conduct property tours. Professionally present the community and apartments while communicating features and benefits. Tailor tour to match prospects’ needs and budget. Process rental applications: verify income, perform background/credit checks, and assess eligibility.Prepare and finalize lease agreements. Maintains a professional and friendly atmosphere in the leasing office.Inspects model and market ready apartments for cleanliness and make sure they are in top condition for showing potential residents. Prepare work orders as necessary to correct any deficiencies. Maintains awareness of the curb appeal of the property. Answers incoming phone calls and handle each call accordingly. Transfers calls to resident relations, assistant manager or community manager when appropriate.Responsible for retrieving and putting away golf carts daily. Keep up to date with accurate and in-depth knowledge of all aspects of the community, particularly in areas such as rent and pricing information, apartment availability, floor plans and dimensions. Stay aware of the local market conditions and trends.Contribute ideas to the community manager for marketing the community and improving resident satisfaction. Actively manage the lease renewal process.Be courteous and efficient in handling resident requests and complaints. Enter all guest cards completely and in a timely manner. Maintains work areas and the office in a clean and orderly manner.Ensure all resident information is kept confidential and secure.Effectively explain all lease and community policies to residents.Responsible for moving in new residents, including ensuring all required paperwork and deposits are in order prior to granting keys.Perform any additional duties assigned by assistant/leasing manager, property manager or director of property management.Assist in maintaining a clean and professional exterior appearance by picking up litter or reporting exterior issues to supervisor.     PREFERRED QUALIFICATIONS:

    High school diploma or equivalent; college coursework or degree in Real Estate, Business, Marketing.1–2+ years in leasing, property management, retail sales, hospitality, or customer service.Proficient in leasing/property-management software (e.g. Yardi, AppFolio, MRI); strong Microsoft Office skills.Excellent communication, sales, negotiation, and interpersonal abilities. Strong organizational skills and attention to detail. Ability to work evenings, weekends, and adapt to busy seasonal cycles. Valid drivers license. Familiarity with Fair Housing regulations and ethical leasing practices.

    PHYSICAL REQUIREMENTS:

    Frequent Standing, Walking, and Climbing to tour units, inspect units, walking the property and climbing stairs. Alternate sitting at a desk working on a computer, organizing files and managing documents. Some lifting, carrying, bending, stooping and squatting. Frequent hand use and finger dexterity for computer work. Vision for reading documents and screens. Hearing and speaking to communicate with prospects and residents. Regular exposure to weather when touring units. Hot, cold, and wet conditions.

    PAY RANGE:

    The pay range for this position is expected to be $22-$24 per hour however, leasing professionals can earn between $24 - $28 per hour when they earn incentive pay for leasing apartments. Final compensation will be determined based on job-related factors including experience, education, skills, and internal equity.
