Job Summary:
The Aesthetics Front Desk Receptionist is responsible for creating a warm, professional, and inviting experience for clients while managing the day-to-day administrative operations of the practice. Key Responsibilities:
Client Interaction: Greet clients warmly, manage check-in and check-out processes, and ensure a positive first impression of the practice.Appointment Scheduling: Coordinate and manage appointments using scheduling software, ensuring optimal use of provider time and minimizing conflicts.Customer Service: Address client inquiries via phone, email, and in-person, providing information about services, pricing, and promotions with professionalism and enthusiasm.Administrative Duties: Maintain accurate client records, process payments, and handle billing inquiries. Ensure the front desk area is clean, organized, and professional.Retail Sales Support: Promote and sell aesthetic products and services, educating clients on their benefits and assisting with product selection.Team Collaboration: Work closely with medical staff, and management to ensure smooth clinic operations and a seamless client experience.Marketing Support: Assist with social media updates, client communications, and promotional campaigns as needed.Compliance: Adhere to all company policies, HIPAA regulations, and industry standards to ensure client confidentiality and safety.Qualifications:
High school diploma or equivalent; associate’s or bachelor’s degree in business, hospitality, or related field preferred.1-2 years of experience in a customer-facing role, preferably in a medical spa, aesthetics clinic, or similar environment.Exceptional interpersonal and communication skills with a professional and friendly demeanor.Proficiency in scheduling software, electronic medical records (EMR) systems, and Microsoft Office Suite.Strong organizational skills and attention to detail, with the ability to multitask and prioritize in a fast-paced setting.Knowledge of or interest in aesthetics, skincare, and beauty treatments is a plus.Ability to maintain confidentiality and handle sensitive client information with discretion.Flexibility to work evenings, weekends, or holidays as needed.

Responsibilities
Multitask effectively in a high volume environment, handling patient phone calls, patient inquiries, and urgent requests with professionalism.
Assist in patient intake procedures, including collecting medical history and vital signs.
Provide direct patient care, ensuring comfort and safety during examinations and procedures.
Administer medications as directed by providers and document appropriately.
Utilize Electronic Health Record (EHR) systems for accurate documentation of patient information.
Coordinate with healthcare providers to ensure seamless patient flow within the clinic setting.
Maintain cleanliness and organization of examination rooms and medical equipment.
Assist with supply management.
Educate patients on treatment plans, medications, and follow-up care as instructed by providers.
Provide assistance with processing of prior authorizations.
Perform delegated administrative tasks, including scheduling, record keeping, and coordination of patient follow-ups.
Utilize Microsoft Office Suite and Workspace (Word, Excel, Email and Chat) for data entry, reporting, and communication.
Requirements
Proven experience as a certified Medical Assistant (1-2 years minimum) in an outpatient settings such as clinics or urgent care facilities, aesthetics preferred.
Ability to multitask and prioritize in a fast-paced, patient centered environment.
Strong organizational skills.
Strong communication skills and a team player attitude.
Knowledge of medical terminology, anatomy, physiology.
Proficient in using Microsoft Office and EHR systems for patient documentation.

Ability to work effectively in high-pressure situations while maintaining attention to detail.
Understanding of procedures related to dermatology, aesthetics, urgent care OR family practice experience is a plus.
