Summary: This position is responsible for providing administrative support to senior executives, Human Resources and providing support of APS employees for all ADVICS Group companies. The position is responsible to provide ADVICS locations HR management with assistance and support in the onboarding of ADVICS Japan Expat.
Essential Job Responsibilities and Duties:
Provide necessary support and coordination of needs for APS members assigned to ADVICS group companies through the following duties:
1. Communicate with ADSJP HR on Expat assignments, including new and returning expats, personnel information and job changes, and expat assignment changes to initiate all necessary preparation at each U.S. site.
2. Coordinate expat orientation, including all paperwork required to work in the U.S., and APS benefits explanation. Assist local HR representatives in fulfilling the necessary requirements to start the job. Assist lifeline set up; including, but not limited to, SSN application, opening bank account, housing and utility set up, obtaining insurance, moving arrangements, and driver’s license application.
3. Primary contact between expats and ADSJP HR for any personnel issues and required benefit requests and approval process, including housing assistance, temporary return to Japan, dependent education support etc.
4. Collect, organize, and maintain personnel information including immigration status from expats in all sites and update HR systems timely.
5. Arrange check request for non-business-related expats expenses and submit to APS.
6. Assist returning expats on moving arrangements, closing various accounts in the U.S., and coordinate end of expat assignment return with ADSJP HR.
7. Assist returned expats on maintaining their personal bank account and payments for 3 months and close their bank account.
8. Point of contact for local hire immigration issues for North American sites, including new visa application, renewal, permanent residency, business trips and expatriate assignments from the U.S. to other countries
9. Primary administrative support to the President of ADVICS North America.
10. Responsible to provide relocation assistance to members relocating from Japan Head Office.
11. Perform inspection, servicing, and repair of company-owned pool vehicles to ensure they are safe and reliable to be operated for ADVICS members. Keep and maintain all the pool car records.
Other Responsibilities and Duties:
1. Responsible for performing administrative support for ADVICS Japan
2. Translation of presentations, documents, etc. from Japanese to English and vice versa.
3. Act as main contact for Japanese Business Society of Detroit, Japan America Society of Greater Cincinnati, TPC Golf Membership and other formal and informal societies of which the Company belongs. This will include newsletter distribution and event arrangement
4. Work related event planning for President and Human Resources Department.
5. Maintain and support the HR/GA/Corporate planning administration of the company intranet homepage, shared documents, announcements, pictures, etc.
6. Maintain employee files and records ensuring record retention guidelines are followed.
7. Understands Human Resources policies and procedures.
8. Invoice processing for Human Resources through Concur platform

This position supports the accounting group located in our Cincinnati Area Office. This includes process improvement, staff management and assistance in the accurate development of financial statements. This position is responsible for monitoring and maintaining controls on Inventory, Fixed Assets, Leases, Accounts Payable. Accurate reporting and finalization of monthly Profit and Loss and Balance Sheet statements. The position will provide leadership to and work cooperatively with members from all departments in the organization, and with internal affiliate companies and external organizations.
Essential Job Responsibilities and Duties
1. Responsible for maintaining accurate inventory records, ensures proper valuation, perform physical inventory, and partners with Operations to resolve discrepancies.
2. Manages the fixed asset subledger, including capitalization, depreciation, CIP tracking, and retirements. Ensure compliance with capitalization policies and prepare monthly roll forwards and reconciliations.
3. Maintains the lease portfolio with lease software and records ROU asset and lease liability activity in compliance with ASC 842. Processes monthly lease entries, handles modifications, and performs reconciliations and disclosures.
4. Oversee daily AP operations, including invoice processing, 3 way match, vendor management, and payment run. Ensures accuracy, timeliness, and compliance with tax and internal control requirements.
5. Oversee payroll processing to ensure accurate and timely compensation, proper tax withholding, and compliance with federal, state, and local regulations. Reviews payroll reports, reconciles payroll-related accounts, and collaborates with HR to resolve discrepancies.
6. Prepares and reviews journal entries, account reconciliations, and flux analyses to support timely and accurate financial reporting. Leads assigned close activities and collaborated with cross-functional teams to ensure completeness and accuracy.
7. Identifies opportunities to streamline workflows, automate reporting, and enhance ERP/close-system usage. Develops and maintains SOPs to strengthen accounting accuracy and efficiency.
8. Support and mentor staff while coordinating with Operations, Procurement, and other teams to resolve issues. Communicates risks, provides guidance, and improves cross-functional processes.
9. Assist in the preparation and completion of our annual financial and J-Sox audits and internal audit as required.

4. Responsible for accurate production accounting of high-volume AP/AP processing.
5. Manage timely closure of the General Ledger (Sales, Cost of Goods Sold, AR, and AP) month-end and year-end.
6. Manage completion of operation related journal entries and account reconciliation
7. Strong data management and usage of Microsoft Power Bi for financial reporting.
8. Prepare monthly reporting package(s) to Parent Company and Maintain J-Sox documentation.
9. Support Tax preparations and filings activities.

1. Direct the Production Accounting Group member activities, specifically the processing of high-volume multiple customer and multiple plant facilities daily transaction in the Oracle system.
2. Supervise the activities of the Production Accounting Group members on all monthly Accounts Payable and Accounts Receivable (AP/AR) open issues.
3. Direct the efforts of the Production Accounting Group by assigning and distributing work, scheduling and prioritizing work assignments, and reviewing completed work while balancing workflow and deadlines.
4. Guide and assist Production Accounting Group with work activities including by helping in the completion of work assignments, as necessary.
5. Monitor and review the performance of the Production Accounting Group, recommending changes as necessary.
6. Assist in the development, implementation and management of accounting processes and systems.
7. Assist the accounting management team in creating and maintaining the department’s budget.
