    AAI is actively recruiting Medical Appointment Clerks to support the 99th Medical Group located at Nellis AFB, which operates one of the largest Air Force medical facilities in the Air Force, the Mike OCallaghan Military Medical Center. Its primary mission is to maintain medical readiness for worldwide contingencies by providing quality, cost-effective health care for more than 48,000 enrollees, including almost 15,000 active-duty members.

    This project will require the Medical Appointment Clerks to monitor, manage, and report on services for higher management and develop plans to improve timeliness and accuracy rates, service availability, and overall MTF performance and compliance.

    RESPONSIBILITIES:

    The Medical Appointment Clerk will schedule appointments in a government computer system for primary care, specialty, and subspecialty medical care. In addition to scheduling requested appointments, this position will call patients or respond to secure messaging submissions to schedule, reschedule, and/or cancel appointments as needed, including appointments for consult/referral specialty care within the MTF or at civilian facilities. The Medical Appointment Clerk must:

    Clearly speak and understand the English language.Use of standard office equipment, such as personal computers, copiers, fax machines, andtelephone systems.Possess general medical ethics, telephone etiquette, and excellent communication and customer service skills.Work Environment/Physical Requirements. The work is mainly sedentary but may require walking, bending, standing, and/or carrying light items such as files, manuals, and medical records.Schedules medical appointments and determines patient eligibility for services from phone calls,secured messaging, or other methods used for appointment requests. Supports PCM by name processing for appointments and appropriate access to care timeframes during the allocation of standard appointment types.Maintains appointment schedules using a government computer system MHS GENESIS.Validates eligibility through appropriate booking through the Defense Eligibility Report System (DEERS). May be required to register patients not already in the computer system, such as newborns.Maintains accurate and up-to-date patient schedules and logs. Utilizes the Government computer system tools and standard protocols (detail codes, freezing slots, and TRICARE online usage) to facilitate maintenance of appointment slots, rescheduling options, or cancellation processing.Validates basic patient demographic information before booking appointments for patients. Makes required updates.Call patients or respond to secure messaging requests as needed to schedule, reschedule, and/or cancel appointments. Promotes consult/referral specialty medical care within the MTF or at civilian facilities. Provides patient with specific visit instructions.Pulls records and files documentation as needed. Confirms medical records are available for upcoming appointments on provider schedules.May assist in the preparation of patient notices (telephonically or form letter formats) for appointment reminders, no-shows, or rescheduling/cancellations.Receive and electronically deliver telephone messages (t-cons) to PCMs and/or clinic nurses byusing the Government computer system, standard protocols, and individual clinic guidelines as needed.If in the lead clerk position, attendance at the clinic Access to Care Meeting is mandatory for central booking representation.


    REQUIREMENTS:

    A fully qualified typist (computer keyboard) with a minimum of 50 WPM is required.Education. High school diploma or General Educational Development (GED) equivalency.Experience. At least 6 months of experience in medical office scheduling.


    Certification:

    Basic Life Support (BLS) certifications using American Heart Association or American Red Cross guidelines.Members must present proof of current certification(s) through the American Heart Association or American Red Cross.

The coding professional will conduct internal audits; monitor coding practices and documentation deficiencies to identify, develop, deliver training and monitor effectiveness of efforts to ensure improvement to documentation, coding completion, timeliness and accuracy rates for the MTF.

    RESPONSIBILITIES

    Knowledge of The International Classification of Diseases, Ninth Revision, Clinical Modification (ICD-CM), procedural coding, healthcare common procedure coding system (HCPCS)/current procedural terminology (CPT) nomenclature, medical and procedural terminology, anatomy and physiology, pharmacology, and disease processes to perform the duties described. Knowledge of reimbursement systems, including Prospective Payment System (PPS) and Diagnostic Related Groupings (DRGs); Ambulatory Payment Classifications (APCs); and, ResourceBased Relative Value Scale (RBRVS).Knowledge of and the ability to interpret guidelines, rules and regulations developed by: Centers for Medicare & Medicaid Services (CMS), American Medical Association (AMA), American Heart Association (AHA) and other applicable Federal requirements so as to provide timely and accurate information relating to coding, billing and documentation.Excellent oral and written communication skills, interpersonal skills along with the confidence to present complex medical coding issues and educational instruction to a diverse audience.     Education/Certification:
    1. Successful completion of academic requirements, at least at an associate's degree level from a health information management program is required.
    2. A Registered Health Information Technician (RHIT) or equivalent certification is required.

    Must have successfully completed requirements for International Classification of Diseases, Tenth Revision ICD-10-CM/PCS proficiency certification by AHIMA standards or the AAPC ICD-10-CM proficiency test prior to their start date if an equivalency determination request for AAPC certification(s) is authorized by the Government.

    Experience:

    Candidates will require a minimum of 10 years of medical coding experience in production coding environments within the past 10 years, in more than 4 medical and surgical specialties, involving assignment of ICD, E&M, CPT, and HCPCS codes. These clinics fall under the guidance of the Director of Branch Clinics, whose primary mission is to provide reliable healthcare and maintain medical readiness.

    The Medical Office Clerk will provide clerical/ administrative support in wards, clinics, or other clinical departments of a medical treatment facility.

    QUALIFICATIONS:


    Maintain a level of productivity comparable with that of other individuals performing similar services.
    Participate in peer review and performance improvement activities.
    Practice aseptic techniques as necessary. Comply with infection control guidelines to include the proper handling, storage, and disposal of infectious wastes, and the use of universal precautions to prevent the spread of infection.

    Screen, record, and redirect approximately 800 to 1000 telephone calls per clinic per month using appropriate telephone etiquette.
    Print/download approximately 50-100 scans to provide to patients on appropriate hardware.
    Screen, record, and route approximately 600-800 secure messages per month per MTF Standard Operating Procedures (SOP).
    Check-in 1,000 to 1,500 patients in to the clinic for their appointment utilizing the MHS GENESIS system per month.
    Verify and update patient information and data using MHS GENESIS approximately 500 to 2000 times per month.


    REQUIREMENTS:

    Education. High school diploma or General Educational Development (GED) equivalency. Medical terminology desired.
    Experience. At least 6 months of experience in office setting.

    Submit a Monthly Report with Workload Statistics. Data shall be recorded by each clerk daily, reported for the month, and provided to the COR. Statistics to be reported in a monthly spreadsheet include total number of incoming telephone calls answered, outgoing telephone calls to patients, MHS GENESIS appointments booked, patients checked into MHS GENESIS, number of reports generated, and the number of providers the contractor created/managed appointment schedules for during the month.
